Film Expo Texas is the only Texas based expo of its kind. Our focus is educational in nature and designed to bring filmmakers, screenwriters, actors, producers and other motion picture workers together with the resources and suppliers whose products and services they use, or will come to use. We are not a film festival – we are an event focused on highlighting motion picture industry resources in order to strengthen the industry locally.

 

Film Expo Texas, in its sixth year, offers an intimate environment with exhibitors, workshops, panels, an event program, goodie bag, product demonstrations and plenty of easy access networking.

 

This year, we anticipate 100-150 attendees – all interested, or involved, in some aspect of motion pictures.

Examples include: Free parking, easy load-ins and an intern at $50. for the day to man your booth if you can’t physically be there (you work with them in advance to explain how you want your products or services represented) and free electricity.

VENDOR RULES AND PROCEDURES

 

WHAT CONSTITUTES A BOOTH?
You will be provided one 6’ (six foot) table that is draped, two chairs and a basic sign bearing your company name per table.  Electricity is included. You will need to bring your own extension cables and/or socket plugs. You may have to share a 2-outlet plug.

VENDOR REGISTRATION

All vendor registrations must be completed by October 1, 2008 to be listed in the FILM EXPO TEXAS Official Program Book.  Registration is via the attached Vendor registration form. Payment must be mailed with a copy of the completed Vendor Registration Form. You have the option of faxing the completed form to 800-975-8119 and then requesting a PayPal invoice via email for payment.

 

VENDOR CHECK-IN AND PASS PICKUP

You may check-in and pick up your Tradeshow Vendor Passes on the expo day (Saturday, October 25, 2008) beginning at 5:00am but no later than 7:00am.  You must be checked in no later than 7:00am on expo day because of setup time before the exhibit area opens.

 

EXHIBITOR MOVE-IN

You may begin your move-in once you’ve picked up your Tradeshow Exhibitor Pass on expo day between 5:00am – 7:00am. You must check in early enough to have time to get setup.. You must be completely setup by 7:45am, with all debris out of sight. There are two load-in areas. Once your materials are brought into the building,  your vehicle must be moved immediately to a regular parking space. We will have a person stationed at the load-in areas to keep an eye on materials being brought in while your vehicle is moved.

 

EXHIBITOR SETUP HOURS

• All booths must be completely setup and ready to display by 7:45am on expo day.

• All booths must remain completely setup until 5:00pm on expo day.

• Vendor Contractors will not be permitted on the show floor between 8:00am and 5:00pm on Sat., Oct. 20, 2007 under any circumstances to do any dismantling. (You must leave your exhibit completely set up until 5:00pm, with nothing being removed from view until at least 5:00pm). No exceptions.

 

TRADESHOW HOURS

Saturday, October 25, 2008 from 8:00am – 5:00pm. One day only. One person, and no more than two people, must man your booth at all times. Your Vendor pass is not transferable.

 

EXHIBITOR BOOTH DISMANTLE & MOVE-OUT

Sat., October 25, 2008 beginning at 5:30pm you may begin physically moving out of the tradeshow area. NOTE:  All booths must remain fully and completely setup until.5:00pm when the exhibit area doors have been officially closed. There will be no exceptions. Any vendor dismantling any part of their booth display from full functionality as it existed during the run of the tradeshow before 5:00pm will be assessed and charged a penalty of $150. due immediately. You will have until 7:30pm to have everything removed from the exhibit area. 

CAN I SWITCH BOOTHS AFTER MY BOOTH HAS BEEN ASSIGNED?
Yes, as long as space is available, and for a fee of $50. payable to Film Expo Texas.

HOW MANY PEOPLE MAY I HAVE WORKING AT MY BOOTH?
Two people at one time per booth is the maximum. We only provide 2 vendor passes per booth. Your booth must be manned at all times by at least one person. A fee of $150. will be assessed for any booth left unattended for any period of time, whether the person is in the tradeshow room, restroom or not. Booths must be manned at all times. If you have two booths directly next to each other, one person is sufficient to man both booths. If a booth only has one person manning it, and the person has to leave for the restroom, the expo staffperson covering that area may watch the booth (on the outside of the booth) for five minutes while the persons goes and promptly comes back.

WHERE DO I GET MY VENDOR BADGES?
Your badges will be available at the Registration Table on arrival to load in from 5:00am – 7:00am on expo day, Saturday, October 25, 2008.

HOW DO I GET ELECTRICITY FOR MY BOOTH?
Electrical access must be reserved in advance on your Vendor Registration Form. Electricity is included. You must provide your own surge protector strips (highly recommended) and proper cables. No heavy lighting (HMI’s or such)

HOW DO I GET A PHONE LINE FOR MY BOOTH (for credit card transactions and internet)?
We suggest that you bring a wireless computer or laptop for such transactions. There is wireless service in the lobby with computers and internet access.

ARE THERE THINGS THAT I AM FORBIDDEN TO SELL AT THE EXPO?
Yes. Food, drugs, alcohol, tobacco, fire arms, explosives, sexually explicit items…

ARE THERE ANY DECORATING RESTRICTIONS?
Yes. Helium balloons may not be brought into the Tradeshow under any circumstances. All signage must be on stands or easels.  Nothing may be affixed to the walls under any circumstances.  Banners may be placed on tables using clips or pins, to the table skirting.

ADDITIONAL VENDOR RULES:

  • You must check in and complete your setup during the designated setup hours.
  • Your area must be free of debris at all times (around and behind the exhibit area) We will begin a safety tour of the tradeshow area at 7:45am. Any vendor with debris in the aisles after 8:00am will be assessed a $100 penalty fee per occurrence.
  • Food and drink may not be consumed in the tradeshow room or in the vendor booth area under ANY circumstances..
  • Your setup should not be disruptive to neighboring exhibitors in any way (music, loud noises, etc.)
  • Children are not allowed to roam the expo or tradeshow areas alone or unattended.
  • Children under the age of 12 are not allowed in the tradeshow booths. Those over the age of 12 must be included in the maximum number of two people at the booth and must have a tradeshow pass. Children under the age of 18 may not attend the booth alone.
  • Absolutely no personal checks will be accepted after Oct. 15, 2007 from vendors.
  • Vendor badges will not be available for pick-up prior to the date of the expo.

  • There will be FREE PARKING in the lot. Please park in one space and within the lines.

 

  • All booth payments are final, non-transferable and non-refundable.

 

  • All vendors, by attendance and agreeing to exhibit, give permission to have their likeness taped during the expo and for promotional purposes of Film Expo Texas.

 

  • Absolutely NO HELIUM BALOONS will be allowed in the expo hall.

 

  • BEWARE: As a vendor you have invested a lot of time and money in participating in the expo. However, there are people that were not willing to make the same investment as you, but want to receive the same benefits. These individuals will stand in front of your booth and hand out business cards, flyers, and other marketing materials. We do our best to stop this from occurring, but we need your HELP! If you witness an individual handing our or distributing marketing material illegally (without a booth or having paid for their materials to instead go into the promo bag as inserts), please let one of our staff, volunteers, or security know immediately. Thanks for your cooperation.

 

  • All exhibitors will have to agree that they will not distribute, hand out, place stacks of, or otherwise distribute materials for promotion of themselves, their services or as an agent outside of their respective exhibit booth.

.

  • Food may not be handed out at FILM EXPO TEXAS.  Sealed candies and advertising specialty items are fine as long as they are distributed from your booth.

 

  • If you are conducting sales at your booth, please make sure that you have a valid Texas Sales Resale certificate with you, with a copy taped on the inner corner top of your table and to show the Tax Assessors office if asked.

Vendor Agreement

 

 

This agreement and the information contained herein, represents the entire agreement and understanding between the parties and supersedes all communications, understandings, or agreements, if any expressed or implied, whether written or verbal. Film Expo Texas has made and makes no representation of any kind except those specifically set forth herein. In the event of any dispute to the terms of this contract, the parties agree to consult with a professional mediator agreed upon by all parties prior to seeking legal action. The prevailing party shall be entitled to recover costs and attorney fees. This contract shall be interpreted and construed pursuant to the laws of the State of Texas. Amendments to this agreement must be in writing and signed by both parties.
